We are currently seeking a Specialist for the HR Services Workforce Administration (WFA) department. The Specialist, WFA is responsible for processing transactions for HR programs such as position management, performance reviews and temporary utilization tracking, and overseeing the data input of on-boarding/off-boarding of employee data. The Specialist is also responsible for processing data corrections in Workday (HR system), functions as administrator for the Online Time and Attendance application in WorkBrain and creates/distributes organizational charts. The Specialist will interface with both internal and external clients, HR business partners and employees with questions and concerns. Specifically, the responsibilities include:
  • Processing recruitment transactions such as working with the HR Services Contact Center to open recruitment requisitions with appropriate job description, process new hire documents and hire/transfer/promotion transactions.  
  • Processing domestic and international employee transactions using HireXpress and Workday including new hires, promotions, transfers, pay adjustments, PSC input etc.  and tun/distribute monthly reports as well as ad hoc reports to divisional & HR management as needed.
  • Processing data correction requests such as working with HR to identify issues and make corrections to employee data, counsel HR when correction may impact other employee data such as vacation accrual, pension, benefits, bonus etc., coordinate with WB Tech Application Services to update information that may not be available through regular systems for updating, communicates with Time Warner Corporate changes made to employee data and notified HR Services Senior management when systems are not processing data as they should.
  • Administering of the Online Time and Attendance process to provision accounts, make updates and changes to system, assist HR and time sheet approvers with questions on how to use tool, manage employee and approver status by reviewing audit reports on a weekly basis,troubleshooting payroll, timecard and check issues with Payroll department and responding to inquiries from the Remedy ticketing system based on the appropriate Service Level Agreements set forth by department.  
  • Maintaining divisions global organization charts and headcount reports on a monthly basis, partnering with Senior Management on department/division reorganizations, preparing proposed organization charts and job descriptions and liaising with Compensation Representatives where appropriate.
  • Overseeing temp process and usage including distributing temp reports to divisional management as requested, reviewing temp requests to ensure justification ties with business needs, providing extension and end date approval to Randstad and for WB payroll temps, processes the hires into HR and Payroll systems.
  • Administering termination processing such as requesting final checks, scheduling and conducting exit interviews, creating and processing separation/layoff sheets and liaising with Legal & Employee Relations to get documents approved and agreements created.  Distributes agreements and maintains termination files with signed agreements & exit interview sheets.
What do we require from you?
  • College degree or equivalent experience in related field.
  • Minimum 2 years Human Resources administrative or related experience.
  • Strong computer skills required, including Outlook, Excel, Word, PowerPoint and Org Plus.
Bonus points for:
  • Human Resources Certification or HR coursework.
  • Experience in an international environment.
  • Proficiency with Access &/or database software.
  • Experience with personnel and payroll data systems (e.g. Workday) preferred.
  • Previous studio or entertainment industry experience.
