Senior Hospitality & Workplace Services Coordinator

Job Summary: As Senior Hospitality & Workplace Services (H&WS) Coordinator, you'll be an integral part of the Facilities and Hospitality Services Team, and a pivotal force in managing facility-, hospitality-, hoteling - and meeting-related activities. You'll have direct responsibility for day-to-day office, hospitality and meeting or in-office hoteling services and programs. In addition to performing your routine H&WS duties, you'll manage various hospitality and workplace-related activities in a regional location. You'll oversee operational aspects of facilities maintenance/janitorial services, utilities management and facility security. You'll also coordinate internal space/furniture maintenance and allocations, in-office hoteling, internal meetings, catering, receiving of guests, and on boarding of new hires. Key Responsibilities:
  • Support various H&WS functions at EY sites, providing consistent quality, and cost-effective services. Arrange and coordinate H&WS for hoteling staff
  • Independently manage services, and make recommendations to Regional management
  • Protect EY’s assets and images, by maintaining a safe, functional and productive work environment
  • May coordinate minor construction (including associated furniture, technology installations, vending services, copiers, boxes, equipment, etc.). Liaise with Americas Real Estate Services for larger projects
  • Recommend H&WS policies and procedures and share leading practices. Gather feedback on services and identify improvements
  • Provide high quality on-site H&WS to all residents and guests.
  • May supervise and mentor internal H&WS staff, including workplace services and/or hospitality staff
  • Help find ways to improve cost, and introduce leading practices into service delivery
  • Manage, develop and coach your team to continually improve their customer service and technical skills
  • Carry out cross-training, team building and identify training and development needs
  • May participate in recruiting and hiring workplace and hospitality services personnel
  • Confirm that all work complies with firm procurement policies
  • Gain an in-depth knowledge of systems, tools, work routines and procedures related to EY's facilities and hospitality services function
  • May help develop the annual budget, and confirm that the department operates within its budgetary guidelines
  • Maintain firm standards. Recommend ways to improve processes and manage expenses
  • Coordinate with vendors including caterers, furniture rentals, and audio visual equipment rental and repair
  • Gain an understanding of EY Reserve and EY Workplace system tools
To qualify, candidates must have:
  • In depth knowledge of systems, tools and procedures for office maintenance, hospitality, meeting and in-office hoteling services
  • A minimum of 5-7 years related experience
  • Bachelor's degree or equivalent experience
