Senior Coordinator, Medical Affairs

The Sr. Coordinator, Medical Affairs is responsible for coordinating and managing projects relevant to Medical Affairs activities and will make necessary improvements in processes to increase efficiency and help to accomplish department objectives. The Sr. Coordinator works with the leadership of MAF to assist with assembling medical meeting schedules/reports and other related administrative duties as required which may include compiling and analyzing data, creating, designing, updating and maintaining related databases, compiling reports, charts and graphs as requested by Sr. Directors and MAF leadership. The Sr. Coordinator also works on advanced department projects, compiling and analyzing data; creating reports, providing information regarding Medical Affairs function specific policies and procedures. Responsibilities include, but are not limited to: Project Management/Coordination
  • Assist VP, Sr. Director(s), and MAF leadership with special projects.
  • Assist with design of templates for project use.
  • Design data collection, retrieval and repository systems that are efficient and effective for the scope of the project.
  • Provide reports and/or guidance on generating reports for the project.
  • Determine priority level of projects and manage time accordingly.
  • Identify obstacles to completion, gaps in the process and take appropriate action.
  • Identify ways to streamline process to reduce project completion time.
  • Exercise independent discretion and judgment, and solve moderately complex problems, some latitude to change work processes and workflow is provided.
  • Assure that all assigned programs are completed in a timely and efficient manner and follow-up is done on all administrative details.
  • Gathers and analyzes data as requested by management.
  • Creates and submits reports.
  • Provides analysis and recommendations to management.
  • Summarizes, compiles and prepares publication of project results for management.
  • Design, update and maintain databases, associated files and reports.
  • Compiles reports, including charts & graphs.
  • Prepares meeting schedules/reports for major meetings.
Administrative Assistance
  • Assist VP, Sr. Director(s) and MAF leadership with administrative needs commensurate with level.
  • Including but not limited to calendaring, assistance with travel/expense reporting.
  • Secure meeting locations, disseminate agendas, take and disseminate minutes if needed.
Finance
  • Works with Director of Clinical Operations or other to help manage department spends.
  • Including but not limited to managing open/close PO, CMC card and review and reporting of expenses.
  • Coordinate with internal departments, external vendors and suppliers as it relates to regional/national meetings and training activities.

Qualifications
  • A minimum of a High School diploma is required; an Associate’s Degree or higher is preferred.
  • A minimum of 3 years of relevant professional experience is required.
  • A minimum of 3 years of demonstrated experience performing Administrative functions supporting multiple leaders in a matrixed environment is highly preferred.
  • 3+ years of demonstrated Project Management experience, or performing Project Management duties/responsibilities is highly preferred.
  • Must have good interpersonal skills.
  • Must be able to work with limited supervision with independent discretion and judgement to solve moderately complex problems.
  • Extensive operation and understanding of technology (software), including database creation and management as well as other office productivity tools (Word, Excel, PowerPoint, Outlook, etc.) is required
  • Must prioritize work to meet constantly changing timelines for projects.
  • Must be able to leverage appropriate resources to deliver timely solutions.
  • Must be innovative/creative in identification and assessment of new approaches to the design, creation and utilization of data collection tools, repository solutions and report generation to best meet the needs of our colleagues as well as our partners/customers.
  • In-depth knowledge of organizational structures, internal working relationships and inter-functional relationships.
  • PMP or other Project Management Certification is preferred.
