Janssen Global Services, a part of the Johnson & Johnson family of companies, is recruiting for a Senior Administrative Assistant to the VP Global Medical Affairs, Oncology Global Commercial Strategy Organization, based in Raritan, NJ.

The Janssen Global Commercial Strategy Organization consists of a team of highly specialized pharmaceutical executives that develop and guide our portfolio of large and small molecules and work in close collaboration with the Research and Development organization to maximize the impact of our new molecular entities. This group is devoted to our 5 therapeutic areas and the Oncology team is one of our legacy groups, which grew out of the tremendous inventions and advancements that were guided by Paul Janssen, several decades ago. We are focused on the treatment of Hematological and Solid tumor malignancies.

The Sr. Administrative Assistant provides administrative support to the Global Medical Affairs leaders and department.

The Sr. Administrative Assistant is responsible for:

• Scheduling and prioritizing internal and external meetings and maintaining the multiple demands of complex calendars and international travel.
• Flexibility, anticipation and advanced organizational skills are essential for arranging and adjusting to changing daily schedules for a Sr. Administrative Assistant with global responsibilities.
• Must have the ability to make last minute changes to calendar due to shifting priorities.
• Accountabilities include managing calendars, scheduling meetings, preparing meeting agendas and meeting reports, making complex domestic and international travel arrangements and preparing expense reports.
• Responsible for onboarding new hires to the department.
• May have opportunity to work on interesting projects that require creativity and innovation.
• Screening calls and responding to complex inquiries from all levels of employees or external sources regarding a variety of questions across multiple time-zones and cultures.
• Must often make decisions without prior approval from assigned leaders.
• Excellent collaboration and teamwork skills are required in order to coordinate with other administrative staff to accomplish departmental activities.
• Responsible for handling and maintaining confidential records or reports.

Qualifications
• Candidate must have a high school diploma (advanced education or training would be preferred) with 4 or more years of administrative experience is required.
• Must have strong organizational skills.
• Individual must be able to multi-task and work under minimal supervision.
• Skills in Outlook, PowerPoint, Excel and Word are required.
• Proficiency with productivity tools and portal technology:
o On-line Human Resource and personnel systems (e.g. J&J Global Service Desk and Our Source) – preferred
o On-line expense reporting system such as Concur - required
o Webex or Skype - required
o Setting up Cisco Global Connect meetings - preferred
o Microsoft Sharepoint – required
o Use of electronic approval systems as required for compliance approvals (e.g. TOTALITY system)
• Flexibility, adaptability and excellent judgment are key determinants of success in this role.
• The ability to work effectively and independently in a multi-cultural environment involving extensive contact with external entities is critical.
• Must be able to work in Raritan, NJ (five days a week).
• Excellent verbal and written communication skills, with exceptional interpersonal skills are required.
• Sense of urgency required while maintaining a high degree of professionalism.
• Flexibility to work occasional overtime when the need arises is strongly preferred.
• Experience supporting and working in a Global Organization is preferred.
