•The Senior Administrative Assistant provides full administrative support to the Head of Operational, Planning & Strategy (OPS) for R&D Operations, and five direct reports. •Effectively structure priorities necessary to support the entire OPS team. Manage complex and changeable calendars, responsibility for special projects/meetings, managing complex schedules, domestic and international travel arrangements, and RDO/OPS SharePoint sites. •Work closely with R&D Operations (RDO) Decision Support Lead (DSL) and the OPS DSL to provide administrative and logistical support for RDO SLT (Servant Leadership Team) and OPS Leadership Team meetings. Global Connect Rooms/Web Ex scheduling, Audio/Video technology, agenda distribution, catering and communications as requested with limited supervision. •Administrator to MS Teams Pilot program, working closely with OPS DSL.•On board new employees, maintain departmental organization charts, distribution lists, routine purchase orders processing eMarketplace/Ariba, expense reports via Concur, Mailbox communication and correspondence – The Office of, etc.•Collaborate and build strong relationships with the Global R&D Ops SLT Admins as well as the R&D SLT Admins. This position requires the understanding of functions, practices, procedures, and policies of the Global R&D organization. •Flexibility to make last-minute changes to calendar due to shifting priorities. •Work independently and as part of a team. Respond to questions and inquiries from various levels of management and external sources.•Provide occasional US based back-up support for the Senior Administrative Coordinator located in Belgium in support of the Office of R&D Chief Operations Officer. •Position may require attendance at events outside of normal business hours.

•A minimum of a High School diploma is required; an Associate’s Degree is preferred. •A minimum of 5 years of advanced administrative experience is required. •Prior executive administrative support experience required.•The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required. •Strong organizational skills are required. •Handling of medium-sized internal meeting logistics is required. •Experience managing multiple calendars via Outlook is required. •Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required. •Experience with Totality, eMarketplace, Ariba, Aravo, and Concur is strongly preferred. •Experience supporting and working in a matrix organization is preferred. •Demonstrated proficiency with productivity tools and portal technologies (i.e. OurSource, WorkDay, WebEx, Global Connect) is preferred. •Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment. •Must present self in a professional manner at all times, be detail-oriented, thorough and accurate, and well organized. •The candidate should have a proven ability to work collaboratively as part of a team, possess exceptional communication skills (both written and verbal), and operate with a high sense of urgency while maintaining a high degree of professionalism. •This person will be based out of Raritan, NJ and will be required to travel to other locations including but not limited to New Brunswick, NJ; Titusville, NJ; and Spring House, PA.
