The Regional Office is located within our JCPenney store in Atlanta, GA.

Primary Responsibilities Executive Assistant:

  • Holds responsibility for calendar management; opening, sorting, and prioritizing incoming mail and e-mail; answering phone and relaying messages; greeting visitors (internal and external); ordering supplies; preparing expense reports; maintaining files.
  • Manages requests for the VP and Regional Support Leaders time by using judgment about the importance and priority of each while maintaining the satisfaction of those making requests; sometimes directing request to another source.
  • Reviews incoming inquiries and communications on behalf of the VP determines level of urgency, and takes appropriate action (e.g., compose draft responses for review, route to appropriate owner, eliminate “junk” mail).
  • Assists in managing the VP and Regional Managers work by organizing it and by eliminating any unnecessary or relatively minor duties through delegation or action; also suggests delegation on items that could be handled effectively by another in the executive’s organization.
  • Prepares and /or ensures the accuracy of all reports, letters, or other written material issued by the executive; identifies ways to minimize any unnecessary administrative details or burdens, including reviewing and directing inquiries to other sources in the Company. Identifies ways to manage the office more efficiently.
  • Represents the VP by communicating on his or her behalf in internal or external audiences, when appropriate, in a positive and professional manner.
  • Coordinates travel and hotel plans, itineraries, and assists in the logistics of public engagements.
  • Provides guidance and support to the VP, Regional Managers, and General Managers to ensure alignment of activities, meetings and projects across the Southwest Region
  • Compile, organize, and interpret information provided by VP or other sources into an organized, cohesive format.
  • Ability to make decisions in the event limited information is provided.

Core Competencies & Accomplishments:

  • High school education required; some college, business or office management training desirable.
  • Eight to ten years’ experience as an Executive Assistant,demonstrated success in handling executive level activities with efficiency and poise.
  • Able to maintain a high degree of confidentiality on sensitive business and other related matters, including but not limited to documents.
  • Requires outstanding communication /relationship management skills to serve as liaison for the executive with senior managers in the Company.
  • Ability to exercise considerable judgment, discretion, and diplomacy in all areas of responsibility.
  • Strong administrative and clerical skills. Highly proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
