Manages the Old Chapel, providing oversight and direction for all building and event related matters, including but not limited to maintenance, calendar management, and event coordination and management. Serves as the on-site production manager at each assigned event or activity.  Provides advice, support and appropriately briefs relevant members of campus administration regarding all official events taking place at the Old Chapel. Works collaboratively with colleagues across campus to implement events, taking into consideration goals, themes, target audiences, and university priorities. Works closely with external vendors to ensure adherence to contractual agreements and the success of each event.

 

Essential Functions:

 

  • Ensures the integrity of the Old Chapel in areas relating to internal and external maintenance and upkeep. Maintains the day to day operations, including but not limited to, purchasing all supplies, manages detailed and accurate records of all expenses and initiates and coordinates maintenance and repair projects from start to finish.  Installs content for the interactive digital wall display.
  • Initiates and cultivates relations with staff in administrative and academic units across the campus, senior administrators, and campus service providers to implement events. Maintains and supports the positive image of the campus through the successful development and management of high profile events and interactions with high-level constituents, both on and off campus.
  • Ensures proper scheduling and coordination of events in the Old Chapel spaces. Develops, arranges and carries out plans for events and visits in the chapel by high-visibility visitors, including but not limited to high profile donors, alumni and friends, within stated timelines and budgets constraints. Determines logistical requirements and limitations of selected venues and coordinates arrangements for AV, security, parking, catering, rentals, licenses, permits, and contracts, as needed. Works closely with off-campus vendors to ensure adherence to contractual agreements and the success of each event.
  • Works closely with Auxiliary Enterprises on revenue-driven contracts such as weddings, conferences, and other special events/initiatives within the Old Chapel. Collaborates with unit bookkeeper to ensure proper invoice and contract preparation. Works with Auxiliary Enterprises on marketing plans and related promotional materials for the Old Chapel and related event spaces.
  • Provides advice and support to relevant members of campus administration regarding all official events taking place at the Old Chapel, including but not limited to, advice on protocols and related information, and other noteworthy tasks and facts as necessary in order to ensure success. Advises and assists the Executive Director of External Relations and University Events on a variety of topics, issues and projects related to the Old Chapel.  Manages all special projects as required and ensures their timely completion.

 

 

 

Minimum Qualifications:

 

  • Bachelor's degree with three years of relevant experience in event planning or program management.
  • Ability to set priories and work under pressure.
  • Exercise sound independent judgment and decision making capabilities.
  • Excellent oral and written communication and interpersonal skills.
  • Excellent organizational skills and ability to manage several projects simultaneously.

 

 

 

Preferred Qualifications:

 

Higher education experience is preferred.

 

 

 

Work Schedule:

 

Monday-Friday with some required night and weekend work.
