The Event and Conference Management Associate will help support NYLIM’s institutional and retail businesses.  This role will be responsible for leading client-facing and internal events from conception to execution. The Associate will also be responsible to support the strategy and execution of industry trade show sponsorships and should have experience maintaining a conference calendar and exhibition assets. In addition, this individual will partner with various members of the marketing team to craft and compile materials that support these initiatives.


The ideal candidate for this role will need to be incredibly detail oriented with strong organizational and communication skills. This individual must be able to work in a fast-paced environment, collaborating with others as well as being a self-starter and working independently. This role will require demonstrated competence in simultaneously managing multiple projects with attention to detail, while achieving all deadlines. This individual will interact and maintain relationships with multiple internal and external stakeholders at all levels, including managing expectations, providing solutions, and balancing a collaborative approach with the right measure of assertiveness and diplomacy. Travel will be around 30% with attendance at most events and tradeshows.


Additional Responsibilities:

  • Manage all tactical and logistical planning & execution of tradeshows, events, and conferences.
  • Manage event-related deliverables including but not limited to collateral support, invitations, selection and ordering of giveaway inventory, coordiante room blocks and production of lead generation or marketing materials prior to trade shows.
  • Manage all budget planning and accruals.
  • Manage lead retrieval and follow-up leads system for CRM (Salesforce).  Report on success of meetings as it related to sales impact.
  • Manage tradeshow and event ROI with focus on continuous improvement.
  • Manage external vendors and ineternal/external partners, including Corproate Communications/PR, Sales, Marketing, Corproate Travel, booth management vendors, on-site event planners and work closely with and build relationships with tradeshow vendors to negotiate booth location, marketing opportunities, podium opportunities and stay on top of show timelines.
  • Maintain and monitor trade show and collateral inventory.



  • BA/BS required
  • 3+ years of related work experience; event planning/management experience in financial services a plus
  • Strong project management and organizational skills
  • High attention to detail and goal-oriented
  • Strong communication skills, both verbal and written
  • Ability to work collaboratively and develop strong working relationships with team members/stakeholders
  • Self-motivated with the ability to work in a fast-paced and dynamic high performing team environment
  • Dynamic experience in negotiations with external trade and marketing vendors.
  • Experience with movement and set-up of technology products
  • Microsoft Office applications experience
