Posting Job Description What part will you play?

We are currently seeking a Executive Assistant & Purchasing Administrator for the Machinima Sales department.This individual will provide a full range of administrative support to the VP, Brand Solutions and the entire sales team including scheduling meetings, maintaining calendars, processing expense reports and assisting with special projects. This individual will also be responsible for inputting and processing purchase order requests for all Machinima departments.

The ideal candidate is a true go-getter with excellent time-management and communication skills. A sharp editorial eye is a must as you will be creating internal PowerPoint presentations and spreadsheets, in addition to proofreading important documents. Your ability to problem-solve pressing matters and meet tight deadlines will allow you to thrive in this position. Specifically, the responsibilites will include: 
  • Screening calls to determine which calls are appropriate to put through; escalate issues when urgent; take detailed messages and relay information as appropriate.
  • Coordinating all logistics for meetings and events with both clients and vendors including but not limited to: coordinating schedules, booking meeting rooms, booking travel and following up on data/responses from various departments.
  • Processing expense reports in a timely and accurate manner.
  • Coordinating travel arrangements for the sales team.
  • Overseeing the coordination and processing of purchase orders for all departments including liaising with finance and other executive assistants to maintain shopping carts, issue purchase orders, follow up on invoices, troubleshooting issues as they arise and training new shopping cart maintainers.
What do we require from you?
  • At least 3+ years of previous administrative support experience, ideally supporting multiple senior leaders.
  • Experience using / coordinating a purchase order or other similar departmental procurement process.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint).
  • Ability to streamline office operations and procedures.
