Telepictures Productions Inc. seeks an Executive Assistant I for the TP Business & Legal Affairs department. Position provides secretarial/administrative support for the Vice President and Directors of Business & Legal Affairs and ad hoc assistance as needed to others in the department.
  • Revises contracts and spreadsheets for each supervisor according to supervisor’s comments and handwritten notes.
  • Types correspondence.
  • Maintains and updates detailed filing systems for all business and legal affairs transactions for the department.
  • Prepares, submits and manages expense reports.
  • Coordinates travel arrangements and hotel accommodations for supervisors.
  • Researches and summarizes contract terms.
  • Orders miscellaneous office supplies and products and distributes to supervisors as required.
  • Screens all incoming telephone calls; Transfers calls as needed; Takes detailed messages and maintains daily call.
  • Maintains and updates project status reports for the department.
  • Schedules meetings and coordinates supervisors’ calendars.
  • Maintains and updates extensive client contact database.
What do we require from you?
  • College degree required, Paralegal degree preferred.
  • Minimum of 3 years’administrative/legal experience in an entertainment law firm or a studio required.
  • PC Skills: MS Word, Windows, Excel and typing: 60 wpm required.  
  • Familiarity with Internet research, social media and Filemaker preferred.
  • Must have knowledge of report & letter formats, proofreading, redlining, document compare and legal document drafting basics.
  • Ability to communicate effectively & tactfully with talent agents, producers, managers & other levels of personnel.
  • Must pay close attention to detail, maintain confidentiality, and problem solve (within scope of responsibility).
  • Must be able to work overtime as needed.
