Student Services Program Assistant

                  (Continuation of position is contingent upon grant funding)


  • Minimum of an Associate’s degree from a regionally accredited institution, or two years of postsecondary education in secretarial/related field, or three years of documented successful office administrative work experience required, Bachelor’s degree preferred.
  • Ability to demonstrate computer skills and proficient use of the Microsoft Office suite including Word, Excel, PowerPoint, and Outlook as part of the interview process required.
  • Ability to analyze, proof-read and comprehend complex documents required.
  • Ability to project a professional and congenial demeanor required.
  • Ability to establish and maintain effective working relationships with students, other employees, and the public preferred.
  • Strong interpersonal skills and work ethic preferred.
  • Excellent speaking, writing, and organizational skills preferred.

The Student Services Program Assistant shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the J.F. Drake State Community and Technical College Faculty and Staff Handbook.

  • Assist students in identifying appropriate campus services/resources including tutoring, counseling, and career services to improve student success
  • Assist with planning and promoting student engagement activities
  • Provide support structure for the Acting Dean of Student Support Services to enhance student services to support student learning as well as enrollment, retention, and completion
  • Serve as point of contact for student completion center
  • Compile data (budget reports, specialized reports, personnel records, etc.) for the purpose of preparing reports or processing requests
  • Process a variety of documents and materials (e.g. time sheets, requisitions, travel reimbursements, etc.) for the purpose of disseminating information in compliance with established administrative guidelines
  • Prepare a variety of correspondence, reports and other materials (e.g. letters, memorandums, minutes, charts, periodic and ad-hoc reports, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information
  • Maintain tutor services schedule for student completion center
  • Perform advanced clerical duties to support the administration of the office, including typing, filing, copying, faxing, answering the telephone, ordering supplies, and mailing and/or distributing letters, memos, and reports to internal and external stakeholders
  • Maintain confidentiality of identified sensitive information and of departmental information
  • Perform difficult and responsible tasks and recordkeeping functions requiring the exercise of tact, judgment, and confidentiality
  • Maintain the Student Services calendar and post reminders to appropriate personnel for follow-up calls and email messages
  • Format, edit and revise as needed, documents and reports produced by department
  • Assist with the compilation of complex documents, including reports, plans, and manuals
  • Record meeting minutes, as requested
  • Use the internet and other resources to conduct research as requested
  • Establish and maintain effective working relationships with other employees and members of the public
  • Serve on college committees as requested
  • Retain and submit documentation as requested to support accreditation efforts
  • Maintain professional conduct in dealing with students and the college community
  • Dispense necessary reports in a timely manner
  • Continue professional development through professional organizations, seminars, etc. to maintain and improve skills
  • Retain and submit documentation as requested to support accreditation efforts
  • Perform other work related responsibilities as assigned by the Acting Dean of Student Support Services and/or President

SALARY: Appropriate placement on the Alabama Community College System Board of Trustees Salary Schedule E-3, Grade 04 Salary Range $33,794 - $47,732
