Sr Administrative Assistant

Provide administrative support for the Corporate Strategy & Development Team for TIAA. This position offers a high-level of exposure to work with Executives and other corporate functions' leaders/managers, and interaction with senior-level management. This is a high volume, fast paced, and professional financial services environment.


  • Proactively manage executive calendaring, routines, conference scheduling, and required travel, meeting materials, and required reviews
  • Provide daily administrative support to CS&D through the use of Microsoft Office. Receive incoming mail and distribute to appropriate team member.
  • Take the lead and control special projects and initiatives including preparation of quality and presentation-ready presentations using PowerPoint and ongoing reporting
  • Perform monthly budget reconciliations to ensure traceability of expenses and budget variances
  • Respond to emails and other correspondence independently or under the direction of managers in a timely manner.
  • Prepare board reporting and committee reports (word, power point, Excel, etc.).
  • Prepare agendas, notices, minutes, meeting materials, and organize and facilitate staff and departmental meetings.
  • Proofread and correct prepared materials for grammar, spelling, punctuation, format, syntax and content.
  • Manage complex travel accommodations and busy calendars for associates and communicate schedule changes to those affected.
  • Accurately complete and reconcile invoices and expense reports within corporate guidelines.
  • Manage payment of invoices and coordinate with the rest of the administrative team to assist with expense management.
  • Manage the timely production of board and committee material.


  • Five years of administrative support experience with senior executives is required, preferably in a financial or insurance organization.
  • Experience with MS Word, Excel, Outlook, SharePoint, and PowerPoint.
  • Experience with IT Support, Travel, PeopleSoft, and Concur Expense reporting.
  • Associates or Bachelor's degree preferred.
  • Self-starter, task oriented and highly proactive on a daily basis.
  • Able to work within an administrative team and provide backup support to team members. The organization operates in a collegial manner, with all employees working to achieve common goals.
  • Demonstrated ability to manage multiple tasks and activities concurrently without sacrificing quality or timeliness
  • Must have a high-level of professional and interpersonal skills to handle sensitive and confidential situations with complete discretion.
