Senior Administrative Assistant

Senior Administrative Assistant, Global Finance: Major Responsibilities:

Monsanto has a unique opportunity available to provide administrative support to the Global Finance Operations; Global Shared Service General Accounting and Fixed Assets teams; and Global Systems Improvement teams within Monsanto's Finance organization. The successful candidate must be able to manage calendars, resolve problems, develop recommendations and meet deadlines. Must be able to work with minimal supervision, handle multiple projects at once, and must be able to deal effectively with last-minute requests and changes. The successful candidate will have the ability to work effectively with all members of this dynamic team.
  • Calendar management – responsibility for 5 busy calendars with managers who often have meetings with international attendees. Our ideal candidate will have proven ability to take ownership of calendar changes; be proactive in highlighting possible conflicts; and work with high detail orientation. This role will ensure that necessary meeting place conference call in numbers, etc. work properly 100% of the time.
  • Meeting Coordination and compiling documents of projects for the FCRB and ECRB Teams.
  • Travel Arrangements: Many team members travel internationally. Our ideal candidate will have experience with booking international travel and arranging visa application requests with third party vendors. In addition, this role ensures expense reports are completed accurately and timely with all appropriate documentation.
  • Onboarding arrangements: Timely and complete onboarding arrangements for new hires and contractors that include: Computer order, cube location, phone set up and systems access etc.
  • Experience with building spreadsheets and data analysis in Excel and SAP is required.
  • Collect documentation from Managers to set up new suppliers in SAP.
  • Process invoices by entering Service Entry Sheet in SAP and sending to AP.
  • This position requires a high level of confidentiality with sensitive information.
  • Responsibilities include: stocking 2 Kitchenettes and ordering office and coffee supplies as needed.
  • Enter maintenance requests.
  • SharePoint Team site and Finance Website access coordination
  • Coordinate activities for Interviews with managers, Supervisors, and Talent Acquisition

Required Skills/Experience:
  • Completed High School Degree or equivalent required; Associate's or Bachelor's degree preferred
  • 10+ years of experience providing administrative support to multiple leaders in a global, fast paced, complex, cross functional environment
  • Strong judgment skills and appropriate communication regarding confidential matters is required
  • Excellent skills utilizing MS Outlook, Word, Excel, and Concur Travel & Expense programs
  • Proficient using SAP for invoice and PO management
  • Experience coordinating international travel and obtaining travel visas
  • Ability to interact with others at all levels, and within the administrative team to improve processes, gain efficiencies, and create a positive team environment
  • Innovative self-starter with high energy level, strong results and customer-orientation, and confidence in professional abilities
  • Intercultural competency (ability to work within a multi-national, multi-ethnic, multi-lingual organization)
Desired Skills/ Experience:
  • Associates or bachelor’s degree
  • Language skills – Portuguese/ Spanish preferred, would be a plus
