Payroll Specialist

The Cox Family office is seeking a Payroll Specialist in our Atlanta headquarters. As a Payroll Specialist you will be responsible for accurate processing of payroll for all Family Office clients and for performing related administrative tasks, and provides back-up for accounts payable and other functions as needed.

The core accountability of the Payroll Specialist is to accurately process the semi-monthly, monthly and bi-weekly payrolls for multiple, complex multi-state Family Office clients on a payroll system to include executive payroll processing. The Payroll Specialist works to identify and resolve payroll related issues, provides support, and answers pay related questions while maintaining a high level of customer service.

Your Role:
  • Responsible for completing the timely entry of all employee level tax, general deductions, special earnings, direct deposit and all other payroll related data in the payroll system on a semi-monthly, monthly and biweekly basis.
  • Gathers and enters time entry information regarding worked and non-worked hours (PTO, vacation, sick etc.) from various sources (time clocks, timesheets, emails, etc.) for accurate payment to employees.
  • Verify accuracy of payroll data entered and compare against input documents.
  • Follows up with timekeepers and managers to ensure procedures are followed timely and accurately.  
  • Reviews, monitors and validates transactions initiated by other areas (benefits, compensation, etc.) to ensure accurate processing for employee.
  • Assists with proactively identifying potential payroll issues and correcting any errors prior to confirming the payroll transactions.
  • Acts as a payroll expert concerning wage and hour laws as well as other payroll related topics to service customers with their payroll related questions.
  • Maintains customer contacts for payroll for questions, payroll check and reporting distribution.
  • Generates any off-cycle payment transactions, as required by customers.
  • Sends communication and manage process for updating employee for special annual payments/updates (club dues, personal auto usage of company vehicle, etc.).
  • Assists with uploading and validating annual payments and processes using the payroll system (year end, W2, W2C processing, Group Term Life and Long Term Disability taxable income, etc.).
  • Maintain accurate and current employee database in payroll system (pay changes, address changes, new hires, terminations, tax withholdings, etc.);
  • Serve as back-up to Administration Coordinator by performing the following functions as needed:
    • Coordinate flow of documents and approval process for accounts payable;
    • Print or prepare checks and assemble with documentation for review, approval, signature and issuance.
  • Assist and provide administrative support for benefit plans.
  • Perform other business related tasks as assigned.

Qualifications

  • Bachelor’s degree preferred with minimum 3 years’ experience supporting and processing payroll
  • Certified Payroll Professional (CPP) preferred
  • System Knowledge/Experience:
  • Minimum of 2 years’ experience a with Payroll system
  • Experience using one or more of the following:  Axiom, Time and Labor, Kronos, ReportSmith, Adjustmate
  • Strong PC skills including proficiency in Microsoft Office Suite required;
  • Excellent customer service, verbal, written and communication skills
  • Ability to be flexible and respond to varied demands
  • Demonstrated attention to detail and accuracy;
  • High integrity and discretion;
  • Organizational skills;
  • Strong listening and interpersonal skills;
  • Self-awareness and judgment – knows when to ask for guidance and assistance;
  • Team player/collaborative, willing to take on whatever task is required to serve the client;
  • Knowledge of federal and state regulations as they pertain to payroll processing required;
  • Prior client service focused work experience preferred;
  • Working knowledge of payroll and/or accounts payable software packages preferred.
