Front Desk Assistant - After Hours Clinic


Under the supervision of the Clinic Manager, the incumbent performs front desk reception duties, and coordinates patient check out for the Santa Monica Orthopaedic After Hours Clinic. At the front desk, the incumbent greets visitors and patients, updates each patient's appointment status and necessary information in the computer system, collects copies of insurance identifications, collects cash and credit card payments including co-pays, completes cash receipts, and processes billing charge documents. Incumbent directs patient's destination using clear and concise instructions and escorts patients who may have difficulty with mobility. Check out responsibilities are designed to provide clinical care coordination for outpatients seen in the clinic. Incumbent will schedule return appointments when indicated, answer patients' questions to ensure compliance with physician orders, schedule x-rays and other diagnostic tests required before return visit to the clinic, review physician discharge orders and physician contact information to ensure patient understands where to go and whom to call after leaving the clinic, and instruct patients on physicians' emergency contact protocols so they know whom to contact in case of an emergency. In general, the incumbent is responsible for working with other team members to keep the clinic running efficiently and effectively, handling transactions in a time-sensitive manner. While the job is primarily administrative in functionality, some clinical knowledge is required, specifically relating to medical and insurance terminology. Position is located in Santa Monica, but employee is required to float as needed to Westwood. Incumbent independently prioritizes and completes ongoing tasks following established procedures and protocols. Other assignments are made by supervisor on a project basis. Supervisor periodically checks work for accuracy and adherence to guidelines. Work will be reviewed, upon request, when actions represent a deviation from standard guidelines.

Skill in independently composing correspondence in standard correct grammar. Skill in organizing workflow to meet deadlines. Skill in establishing and maintaining complex filing systems (general and research). Skill in editing correspondence and manuscripts for correct grammar, spelling and punctuation. Skill in speaking clearly and distinctly using appropriate English vocabulary and grammar to obtain and convey information to individuals at various organizational levels. Skill in setting priorities that accurately reflect the importance of job responsibilities. Skill in exchanging ideas and opinions with others to increase efficiency of office procedures. Skill in collaborating with colleagues and administrators. Working knowledge of medical/orthopaedic surgery terminology. Working knowledge of Microsoft Office, and various software programs. Detailed knowledge of Medical Center Computing System appointment/registration procedures. Ability to interact diplomatically with the public on the telephone and in person, and to maintain a cooperative working relationship with patients, staff, faculty, residents, and ancillary personnel. Ability to work independently and complete assignments with minimal direction and supervision. Ability to move between academic office, patient clinic locations, and other appropriate areas on campus to facilitate work flow and deliver/pick-up necessary materials. Ability to independently operate photocopy and fax machines. Working knowledge of presentation graphic software (Power Point) to assist in preparation of teaching slides. Working knowledge of UCLA policies and procedures preferred. Working knowledge of CPT, ICD 9/ICD 10
