Administrative Coordinator-Pediatrics

Job Duties

The Assistant Public Admin. Analyst will serve as the administrative coordinator for Center projects such as the the Maternal and Child Health Training Program, GDP2, ACT and other projects. The assistant will help coordinate and schedule meetings with Program Managers, the PI and training grant students. The assistant will assist with the composition and design of marketing materials about the programs, including course flyers, seminar series, brown bags, and internships and any related program activities.
Under the supervision of the Program Managers, the assistant will support evaluation related activities and draft grant reports as well as serve as the liaison between the Program Managers and campus colleagues, collaborators, outside visitors and other staff members. This position is expected to interact and partner with staff, faculty and vendors to plan and manage the scheduling of various events, including the coordination of seminars and meetings and to compose, type, edit and format routine correspondences, and assist with other administrative tasks related to the educational activities of the training program and special projects as assigned. Responsible for setting workload priorities in order to accomplish tasks and meet deadlines.

This is a 1-year contract position.

Job Qualifications

Ability to organize and analyze information and materials, identify problems and arrive at solutions with minimal supervision.
Math skill sufficient to process reimbursement forms.
Ability to work independently with minimal supervision and coordinate activities with competing deadlines.
Demonstrated expertise in triaging incoming calls and correspondence in a high volume office.
Knowledge of the scheduling and maintenance of a complex calendar using Microsoft Outlook.
Demonstrated excellent organizational skills to prioritize and manage multiple projects, and complete tasks with a high degree of accuracy and timeliness with minimal supervision. Perform effectively despite frequent interruptions and/or distractions.
Strong English writing, editing, and proofreading skills to produce appropriate donor acknowledgment letters and other correspondence, reports, and documents utilizing correct grammar, syntax, punctuation. Demonstrated excellent editing and proofreading skills. Excellent analytical skills with ability to review detailed work.
Preferred: Familiarity with UCLA Travel Express, BruinBuy, and UCLA travel policy as well as reimbursement policies. Demonstrated successful project, event planning and management experience. Demonstrated ability to access data, retrieval, management, analysis and presentation. Skill in preparing concise and productive meeting agendas.
