Administrative Assistant III - Marketing Assistant

Job Duties

The Marketing Admin is responsible for a wide range of administrative/clerical tasks for the field marketing team, including collateral production and distribution, photo shoot coordination, giveaway ordering, tracking and more. In addition, a large portion of the job consists of the logistical work coordinating community outreach events/speaking engagements the field marketing team executes on a daily basis. This includes all of the documentation required for event sponsorships, including contracts, forms and invoicing. This individual must be a seasoned multi-tasker with strong oral and written communication skills.

Job Qualifications

Proven track record in collateral production/tracking & distribution. Previous marketing experience required. Strong writing/editing/proofreading skills.Ability to work efficiently with minimum supervision and set priorities in order to meet varying demands, changes in priorities and competing deadlines. Outstanding communication skills working with all levels within the organization from senior leadership to physicians, practice managers and administrative staff. Proven track record in all aspects of event coordination and logistics. Multitasking skills with ability to prioritize and make deadlines. Skills in setting up off-site presentation (laptop, projector, screen, PowerPoint, etc.). Ability to be versatile and accommodate new tasks as needed. Proficiency with Microsoft Office package required. Familiarity with Box, Dropbox, Photoshop, and/or similar programs highly desirable. Ability to continuously stand or walk, bend, squat, climb stairs and lift frequently, lift up to 50 pounds occasionally. Preferred: BA degree in marketing, journalism or related field.
