Administrative Assistant II

Responsibilities

This person will manage day-to-day operations of the Center for Families front office, screen and direct calls to proper Center for Families personnel, check voicemail regularly and distribute messages appropriately, utilizing email, message and online paging system. Our Administrative Assistant will also collect and distribute incoming and outgoing mail and FedEx, coordinate lab deliveries, maintain and update the Front Desk Task Manual, and will act as the primary contact for scheduling maintenance visits for technical support, phone, and janitorial needs.
Among other duties, this position will also assist with maintaining office supply and equipment inventory, make room reservations and coordinate audio/visual setup as needed, coordinate task assignment and training to Work Studies, and assist with other administrative duties and special projects as directed by supervisor.
Ou Administrative Assistant will use BruinBuy for invoice processing, review invoices for accuracy and track expenditures to keep within budget guidelines, and will set up and process mileage and travel reimbursements for office staff.
This person is also responsible for patient care duties such as assist in scheduling appointments, act as a concierge service for patient appointment scheduling, and update information in Care Connect.

Qualifications

Demonstrated ability to work independently to initiate daily tasks with minimal supervision, to set priorities, and to follow through on all assignments with a high degree of accuracy. Excellent interpersonal skills to initiate and maintain cooperative working relationships with staff, physicians, patients and families. Work as part of a team to coordinate patient care. Writing, editing, and proofreading skills sufficient to independently compose grammatically correct, concise, logical letters and memos. Demonstrated proficiency in using Microsoft Office products such as Outlook, Word and Excel. Ability to handle confidential matters with discretion, tact and sensitivity. Ability to follow direction and respond effectively to changes in directions and plans.
